Leading law firm Ashurst LLP says ‘no’ to email quarantine  

    Mimecast, a Software-Plus-Services Partner for Microsoft Exchange and Outlook, has been selected by leading international law firm, Ashurst LLP to help improve email security and management for its 2,000 employees in thirteen countries. The decision to move away from an email hygiene gateway system, that was implemented and managed in-house, to Mimecast’s Software-as-a-Service email management solution was prompted by the need to minimize the burden on the IT team.

    The Ashurst IT support team were increasingly spending administration time simply reviewing the ever-increasing numbers of spam and false positive emails sat waiting for review in quarantine. It was having a negative impact on productivity within the team. Although it was clear help was needed with email management practices and processes, Ashurst would not accept any reduction in control over one of their most critical means of customer communication.

    According to Paolo Picone, IT systems manager at Ashurst, “We had evaluated other email security services in the past and found them wanting in terms of the level of control for IT staff and users. The Mimecast service did not fall into the same trap that we experienced with managed service providers and gave us the policy control and reporting we would expect from any on-premise security system.”  He added, “Security was a key part of this procurement but we never expected the other additional benefits that for us made the Mimecast proposition stand out from the others.   

    The other key aspects of the Mimecast service that were also decisive in its selection by Ashurst was the capability to provide a rolling ten year archival of all emails. For a law firm the issue of regulatory compliance is a key consideration and the ability to offer a tamper-proof record of email with a forensic data trail of who had accessed or been copied on emails as well as a complete record of where and when they had been stored was a major asset that would stand up to scrutiny should the need arise. During his research in the project, Picone had found that very few email management systems seemed to offer this level of data integrity. He continues, “We know now that, should the need ever arise, our email data would stand up to scrutiny because Mimecast gives us strong chains of custody.”

    According to Picone, making the business case for the Mimecast service was simple. He estimates that managing email was occupying one full-time member of his team, not only in analysing email quarantines, but also in time spent on internal hardware maintenance and upgrades. Picone concludes, “Mimecast has eliminated the quarantine issue for us as and the majority of spam is stopped before it can enter the perimeter of our network, having gone through rigorous scanning engines to strip out viruses and malware. As an international law firm based in the UK, all of our data, including email, must be stored onshore. Mimecast fulfils this requirement giving us an extra layer of resilience and we have a fully archived, always-on email service that gives us all the control we could wish for.”
