Law firm Sprecher Grier Halberstram regains control of emails with move to web-based email management system
Law firm Sprecher Grier Halberstam (SGH) has changed from a hosted to a web-based email management service to regain control over its emails and benefit from improved email security, continuity and archival. The decision to move to the Mimecast web-based email management service was prompted by the desire to introduce a level of resilience and redundancy into the system as well as eliminate the need to deal with third parties whenever the company needed to make a change to their email system.
The search for an alternative solution was initiated by Chris W. Balmer, the SGH Head of IT on joining the law firm earlier this year. His focus was on overhauling the IT infrastructure ahead of a planned move to new city offices when the firm outgrew its existing premises. Previously their anti virus security for emails was handled at the perimeter of the network via a hosted service which was purchased through their ISP. According to Chris, “This arrangement meant that if, for example, we were trying to alter our email configurations due to potential blacklisting, we couldn’t make the change ourselves but would have to channel our request via the ISP and the hosted service supplier.
Having reviewed several alternatives Chris settled on the Mimecast web-based unified email management service because it offered a combination of security, archival and continuity for an annual per user fee of just £50 per year which includes ten year’s archival of all email traffic. Says Chris, “The web-based service from Mimecast gives us access to a purpose built, triple-redundant network operating centre allowing us to externally capture emails to provide continuity in the event of our Microsoft Exchange server failing. So in the event of a disaster the partners and staff could still send and receive emails normally and be able to retrieve online emails sent during the last ten years.”
According to Chris the main attraction for the firm itself was the fact that they had guaranteed email access 24 x 7 from anywhere. Another benefit of the system was the archiving service which offered the promise of increased efficiencies, control and cost savings. He says, “Whereas previously we had emails stored haphazardly all over the network which were not always accessible by the network administrators, now we have a central email repository which is with Mimecast. This allows greater accessibility to archived email data as well as the ability to reduce the amount of local storage space allocated per individual down from 3GB to 100 MB per person and I can offload the tedious task of backing up 60GB of email data every night.”
