Environmental Defense Fund switches to Mimecast to simplify email management
Mimecast®, a leading supplier of cloud-based email security, continuity, policy control and archiving, today announced that it has partnered with the Environmental Defense Fund (EDF), a leading national nonprofit organization, to alleviate the complexity and drastically reduce recurring administration and hardware costs associated with email management. Historically, EDF relied on an inefficient system centered on creating and then backing up large PST files. After an evaluation of both Mimecast and a new on-premise email management system, EDF selected Mimecast, finding that its Total Cost of Ownership (TCO) would be less than half of that for the on-premise option.

EDF is composed of more than 400 scientists and attorneys spread across 10 different offices nationwide that need to keep meticulous email records of their work. With no archiving solution in place, employees kept all their email in their inboxes. As some inbox sizes approached 5GB due to legacy and lax policies in Lotus the organization’s email infrastructure began to slow to a crawl. After migrating to Microsoft Exchange in 2004, EDF first attempted to limit users’ inboxes and instructed users to create PST files for archiving. That helped speed the mechanics of launching Outlook and sending/receiving email but created other issues including the time required to backup all those large PST files and the difficulty of retrieving older emails from PST files or from the Exchange environment. Attas and his team decided they needed to implement an archiving system that would not interfere with employees’ regular email workflow nor consume a large part of IT’s time and resources.
With Mimecast, EDF saw an instant improvement in overall email performance, anti-virus coverage, policy enforcement and compliance. The two latter points are particular areas of emphasis for Attas and his team as EDF’s employees create large volumes of unstructured data quickly. If the agency is subjected to government regulation regarding email retention and archiving, Attas believes EDF is prepared. “Mimecast is a tremendous help for record keeping and eDiscovery,” he says. “If we have to find archived messages, it literally takes less than a minute to set up and execute a search.”
EDF users have also come to appreciate the business continuity aspects of Mimecast. “In the past, if we’d had a power or server outage at both of our main hub locations, there would not have been access to email, even from home,” explains Attas. “Now, email fails over to Mimecast in that event which provides a web-based interface that looks just like the user’s Outlook inbox to enable our users to continue working and keep outages invisible to the outside world.”
