Be more productive during e-discovery with faster access to archive data
Speed is essential for enabling efficient e-discovery. The longer it takes, the more at risk you are of missing deadlines or running afoul of court-ordered requests.
“The most common mistake when it comes to archiving is not fully taking into consideration the accessibility of the data,” explains Robert Fried, head of US Digital Forensics & Expert Services at Consilio LLC in New York City. Fast and easy access is crucial. “If the data is not readily accessible, then timelines can be impacted, deadlines can be missed and sanctions may be brought,”
I talked to Mimecast’s archiving experts to uncover four ways to steer clear of those problems by using cloud archiving to accelerate email search and data retrieval:
1. Store archive data in one place. Many organizations spread enterprise information archiving across multiple systems, at multiple sites, and on-premises, in the cloud, or hybrid environments. Bringing this data into one place means less time required for your employees to wrangle information, and makes it easier for you to monitor and track operations and chains of custody. Cloud archiving gives your team one-place access to archived data so they can quickly search, retrieve and process archived files regardless of where and when they’re working.
2. Integrate Microsoft Office 365™. Organizations that use Microsoft Office 365 can speed e-discovery by integrating Office 365 with independent archiving platforms. Instead of toggling between solutions, users have a single pane of glass through which to search, review and analyze emails. With some solutions, they can even access files from inside Microsoft Outlook.
3. Optimize indexing. As data comes into your archiving solution, it’s analyzed and metadata is assigned to it. This allows relevant data to be quickly identified and retrieved. Employees can search archived data by keywords and fields, like sender or time of day, or to search for an attachment, or search within an email or attachment. The faster your indexing technology, the more effective and the faster the speed of your e-discovery.
4. Shop for Speed. When choosing an enterprise information archiving solution, look for one that promises faster returns. From an admin running an e-discovery request for corporate counsel to a policy manager running a handful of searches to monitor employee email compliance, archive data must happen in the blink of an eye.
Take advantage of these opportunities to improve productivity with cloud archiving. As a result, you’re better positioned to respond to e-discovery or compliance requests because tasks that used to take hours and days now take just a fraction of the time.
