Recruitment and HR Advisor

Job Purpose
- To directly source appropriate candidates and support recruiting managers throughout the interviewing and selection process.
- Manage the on-boarding experience from first contact to offer through induction and to the conclusion of probationary periods.
- Ensure a consistent approach and embody the Mimecast culture at every stage so all candidates, whether successful or not, have a great experience.
- Whilst the focus of this position is recruitment there are many HR tasks, projects and initiatives that are to get off the ground over the coming months/year and it is expected this role will be included in the scope and delivery of such.
- To this end this role would suit a HR generalist with a focus toward recruitment as well as a specialist with a desire to broaden their HR experience
Primary Duties and Responsibilities
Recruitment & Selection
- To provide for an internal recruitment function in the company and to ensure that 1) external recruitment fees are kept to a minimum; 2) Where agency fees are applicable negotiating optimal terms.· Implement pro-active recruitment strategies to attract talent leveraging all possible sourcing avenues for entry through senior level positions, including networking, job boards, CV cities, Linked In etc
- Create and manage internal pipeline of talent for current and future needs.· Meeting with managers and supporting/drafting of job specs, preparing job ads etc
- Screening CV's and undertaking first round interviews.
- Scheduling interviews and managing the recruitment process.
- Interview coaching and devise/support formal Interview and Selection training to build capability of recruiting managers.
- Corresponding with and creating great relations hips with recruitment agencies as necessary.
- Manage recruitment activity reporting at Mimecast and provide detailed information regarding vacancies and their status to the Head of HR.
- Manage recruitment on the Mimecast website.
- Work closely with the Head of HR to draft all employment contracts, code of conducts and offer letters and ensure that all employee documentation is properly signed and accounted for.·
- To ensure that references are checked on all new hires and feed relevant information back to the recruiting manager and Head of HR.
- Instigate pre-employment medical checks to ensure employees are fit to undertake the role being offered.
- Schedule and attend industry related job fairs/career fairs to generate applicants.
- Ensure necessary controls in place so as authorisation procedures are adhered to.
On-boarding:
- To ensure all new Mimecast employees receive a full induction into the business to promote early and long lasting engagement.
- Provide a induction plan for managers covering the first week to end of probationary period to ensure all issues to take care of on the first day/week/months of the job (i.e. never let them eat alone on day one!)
- To develop an in-house training and on-boarding regime that minimizes the risk of staff churn.
- Establish induction process for temporary staff and consultant's.
- To facilitate the managing of probationary periods for all Mimecast staff, to ensure these are carried out effectively and there are no surprises with regards performance expectations and assessment.
- To collate announcements to be distributed on first day of employment to welcome new employees to the business in a consistent manner.
HR Records & Administration
- To work with admin team to ensure an accurate employee database of all staff coming onboard is maintained.
- Responsible for ensuring all on-boarding documents are collected and filed on individual employee files both hard and soft copies.
- To automate process and encourage self service wherever possible.
- Ensure internal processes are adhered to in terms of authority to recruit have been granted and packages budgeted and approved.
Generalist HR
- Up to date awareness of business issues and pro-actively translate into operational people requirements.
- Internal talent movement – support internal movement through advice and necessary administration.
- Manage the leaver process to ensure that leavers receive an exit interview; all associated administration is undertaken (resignation letter, holiday pay etc) and produce qualitative reports for the Head of HR.
- Ensure application of company policy upheld and consistently applied throughout the business.
- Advise Managers on employee relations issues to ensure fair and reasonable approach and application of internal policies and statutory procedures.
- To participate in any project or day to day activity as required, to ensure full HR service delivery.
Person Specification
The successful candidate will display a genuine passion for the HR profession and possess the drive to make a difference in this face growing business. They will have the ability to plan and report on recruitment budgets and deliver cost saving results. The ability to contribute to the development of the team as well standing alone are absolutely essential.
Essential
- Experience of working in a fast paced organisation in growth, preferably in the Tech/SaaS industry.
- A Passion for Talent Management and the broader scope of HR initiativesAbility to quickly gain an in-depth understanding of the Company and it's talent needs
- Experience of looking at labour pool challenges and providing recommendations to address these.Hands on experience managing/tracking requisitions and reporting metrics.
- Ability to maintain trust and credible relationships with recruiting managers.Attention to detail must be absolute as HR records and reward packages do not tolerate error.
- Strong communication and organisational skills with the ability to negotiate and mediate.Must have ability to multi-task and problem solve whilst maintaining flexibility of outlook and approach.
- Well versed in MS Office suite and web sourcing.CIPD accreditation is highly desirable.
